A. For The Eligible RUNNERS
1. Distribution / Issuing of BOOKLETS/ TICKETS
o As much as possible, ONLY TITANS & DRAGON BOAT TEAM members will be issued a set of booklets.
o Definition of terms: RUNNER – Titans/ Dragon Boat members; to look for at least 10 DONORS; to run as much rounds as he can in exchange For the SPONSORS contribution.SPO NSOR – Pledger or donor; the person who is willing to donate cash based on the number of rounds accomplished by the RUNNER
o Each set contains 10 Tickets to be sold to relatives, friends, etc.
o Each Ticket has a corresponding serial number, and a duplicate copy (use carbon paper to duplicate)
o Each RUNNER will be given (1) set.
o Each RUNNER is REQUIRED to find a SPONSOR for each ticket (at least 10 SPONSORS per RUNNER). What is 10 people, compared to the hundreds and thousands of FB friends you have?
o Of course, the MORE SPONSORS, the MORE FULFILMENT, and the MORE SULIT each round will be.
o RUNNERS may ask for another set of tickets if the first set has already been accomplished.
o Any unsolicited tickets must be returned to the committee before the event begins.
o Unreturned tickets are considered taken/sold event assembly.
o Lost tickets are considered sold to the RUNNER.
2. SOLICITATION PROCEDURES
o Each Ticket will ask for the SPONSOR’S information:
ü Name of SPONSOR
ü Address/ Contact no./ Email of Donor
ü Birthdate
ü Donation/ Pledge per Round
ü SPONSOR’S Signature above Printed Name
ü Date Signed
ü Name of RUNNER
(NOTE: A minimum DONATION of P1.00/round is indicated in the Ticket)
o RUNNER must willingly accept any amount pledged by the SPONSOR.
o RUNNER must NOT dictate a minimum amount, nor force a certain amount.
o RUNNER must NOT compare other SPONSOR’S pledge.
o RUNNER must always be thankful no matter what amount was pledged.
o RUNNER must check if SPONSOR’S information is complete and accurate.
o The ORIGINAL Copy is given to the SPONSOR.
o DUPLICATE copy remains inside the RUNNER’S booklet.
o The DUPLICATE Copy will serve as proof/ promisory noteupon collection of donation from the SPONSOR.
o RUNNER must let the SPONSOR sign on the Duplicate copy upon settlement of donation.
3. COLLECTION &REMITTANCE of DONATIONS
o STRICTLY NO ACCEPTANCE OF CASH FROM SPONSORS PRIOR TO THE EVENT, UNLESS REASON IS ACCEPTABLE. CASH WILL ONLY BE COLLECTED FROM THE SPONSORS AFTER THE EVENT. Encourage CHECK donations payable to TITANS ACCOUNT (if there is) or to Majul Mackay. Committee must issue an acknowledgement receipt for all CHECK donations aside from the expected DONATION per round.
o RUNNER must remit all donations within 15 days after the RUN EVENT.
o ualong with the signed Duplicate copy within a certain number of days (15days).
o RUNNER will be given a ‘Certificate/Proof of Attendance’ which also includes the official number of rounds the RUNNER has completed during the event.
o The certificate must be presented to the SPONSOR, together with the duplicate copy of the SPONSOR’S ticket.
o Computation for the SPONSOR’S TOTAL DONATION = (P.00 Pledge) x (# of Rounds).
o ONLY THE CORRESPONDING AMOUNT MUST BE COLLECTED. NOTHING MORE, NOTHING LESS. Should the SPONSOR insist on giving more than the expected TOTAL DONATION, the RUNNER MUST indicate on the Duplicate copy how much was ACTUALLY DONATED.
o If the SPONSOR is NOT able to donate the expected amount, the RUNNER must indicate how much was ACTUALLY DONATED.
o The RUNNER must find all possible means to communicate or locate the SPONSOR within the 15 days given.
o If the SPONSOR is unreachable within the 15 days collection period, the RUNNER may either: 1) shoulder the expected donation and collect from the SPONSOR as soon as possible, or 2) find other ways to compensate for the lost amount (?).
o A committee will be in charge of posting, updating, and acknowledging the SPONSORS/ DONATIONS on the web, before and after the event. Thus, the TOTAL DONATIONS will also be regularly updated.
B. B. For OUTSIDERS.
· OUTSIDERS may do pre-registration online or onsite (Event day).
· OUTSIDERS may join and register anytime within the given event schedule (between 5:00am-5:0pm).
· OUTSIDERS must fill up a REGISTRATION FORM, similar to the SPONSOR’S information.
· There are no STRICT RACE RULES inside the oval for the OUTSIDERS.
· However, OUTSIDERS and RUNNERS must follow proper etiquette and decorum as imposed by PSC.
